Why Your PDF Is Too Large to Email and How to Fix It

Email attachment limits are lower than most people expect. Gmail caps attachments at 25 MB, Outlook at 20 MB, and corporate mail servers often set their own limits lower still — 10 MB is common in larger organisations. If your PDF bounced, one of those is likely the reason.

Why the file is as big as it is

Scanned documents are the most common cause. When you scan a page, it gets saved as a full-resolution image — at 300 DPI on a standard office scanner that's around 2 to 4 MB per page. A 20-page contract can sit at 50 MB before you've thought about emailing it. Most scanners default to high DPI and stay that way.

Exported presentations are a close second. A PowerPoint deck with photos on every slide exports to PDF with those images at print quality. Thirty slides can produce a file in the 30 to 80 MB range depending on the photos.

If neither of those applies and you have a text-heavy document over 5 MB, it's probably carrying something hidden — fonts that weren't subsetted, revision history, or large embedded metadata. Less common but it happens.

How to get it under the limit

Compress it. EditPDF's compressor resamples embedded images down to screen resolution — invisible to anyone reading on a monitor, but a significant drop in file size. Scanned PDFs typically shrink by 60 to 80 percent. Runs in your browser, nothing uploaded.

Re-export from the source. If you still have the original file, exporting at lower quality is cleaner than compressing after the fact. In PowerPoint or Word, look for "Screen" or "Minimum File Size" in the PDF export options.

Send a link instead. Upload to Google Drive or Dropbox and share the link rather than the attachment. No size limits, the recipient gets the exact file you intended to send, and it takes under a minute.

One thing worth knowing: zipping a PDF rarely helps. PDFs are already internally compressed, so the zip wrapper saves almost nothing.
